A Dubai File Is Not a Vienna File

Cross-border documentation works better when it is prepared for the institution receiving it.

Moving a business matter from Dubai to Vienna often begins with a deceptively simple assumption:

We already have the documents.

Usually, you do.

The problem is that the same collection of documents may not answer the same questions in another country.

A company extract, shareholder document, proof of address, corporate structure or bank reference can be perfectly normal in one jurisdiction and still require additional explanation, certification, translation or supporting evidence in another.

This becomes particularly visible when banks, lawyers, authorities and corporate-service providers become involved.

The inefficient way to handle this is to translate, notarise and prepare everything in advance.

The better approach is to begin with the receiving side.

What exactly does the Austrian bank require?

What does the lawyer need to establish?

Which corporate documents are relevant?

What needs an official translation and what does not?

Which documents must be recent?

What information is needed to explain the underlying business rather than simply identify the company?

Only after those questions are clear does it make sense to prepare the file.

Cross-border work is often slowed down not because documentation is missing, but because documentation has been prepared for the wrong audience.

A good file therefore does more than contain documents.

It makes the business understandable to the person receiving them.
